Administrative Assistant

SUMMARY OF RESPONSIBILITIES

Responsible for providing administrative assistance to the Airport Director and maintaining records of the Jackson County Airport Authority and Trent Lott International Airport in accordance with the policies and procedures of Jackson County.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Answer the phone and give information to callers and route callers to the appropriate party; and place outgoing calls. Compose and write routine correspondence, both internally and to external agencies. Organize and maintain the cleanliness of the administrative area and Airport Board Room. Check mail daily; sort and distribute as necessary. Maintain and update Airport shared calendar as needed. Issue monthly statements for accounts as needed, maintain records of all receipts and prepare bank deposits and maintain deposit records. Prepare and maintain airport event schedules; assist in the planning and preparation of events. Assist with preparation and distribution of board meeting agendas and minutes. Maintain and prepare all monthly accounting reports and monthly usage reports. Maintain various reporting logs for the Airport, FBO and Security/ARFF services. Prepare and maintain files for purchase requisitions, invoices and receiving reports. Maintain all paper and electronic files for the Airport. Prepare board meeting packets, binders and board room for Airport Authority Board meetings. Assist the Airport Director in preparing grant applications and administering grant monies obtained. Assist the Airport Director in maintaining project files and folders; including grant funded projects. Assists the Airport Director by implementing, communicating, and maintaining all paperwork required to comply with all applicable FAA regulations. Maintain reference library of Airport SOP’s, FAR’s, state law, airport rules and regulations, and related data. Perform various administrative tasks as directed by the Airport Director.

EDUCATION AND/OR EXPERIENCE

Must have a High School Diploma or equivalent.  Previous administrative experience is required.

SPECIAL QUALIFICATIONS

Strong interpersonal skills are necessary to maintain a good working relationship with the public and fellow employees.  Ability to communicate well and understand written or oral instructions and read, analyze and interpret documents, instruction manuals, policies and procedures. Must have strong Microsoft Office skills, specifically in Word, Excel and Outlook. Knowledge of office procedures, equipment and terminology is essential.  Must be able to come to work promptly and regularly. Must be able to work under stress and deadlines. Must be able to concentrate and perform accurately. Ability to multi-task and prioritize work assignments in conjunction with assigned deadlines. Ability to identify problems and involve management when appropriate. Strong recordkeeping and filing skills are required. Ability to use logical reasoning to carry out instructions provided in written, oral or diagram form. Ability to maintain the highest degree of confidentiality and professionalism is essential for this position.
